The project focused on redesigning an invoice reception and approval platform to improve usability and efficiency.

The customer previously utilized an internally developed system created by their in-house team.

Despite its importance as a daily tool for employees, the platform struggled with significant usability and functionality challenges.

Lack of system visibility

Users struggled with limited visibility into tasks, making it difficult to prioritize and track their workload efficiently.

Inefficient workflows

The platform's workflows were overly complex, requiring multiple steps to complete even simple tasks. This led to inefficiencies and frustration among users.

Inconsistent branding

The platform lacked a cohesive and professional brand presence, resulting in a suboptimal user experience and a fragmented interface.

Process

To address these challenges, the project began with a detailed analysis of the user's workflows and pain points:

Understanding requirements: After gathering initial requirements from the client, I conducted in-depth sessions with four active platform users. These sessions were crucial to understanding how they used the tool and identifying their biggest frustrations.

Wireframing: Using the insights from these sessions, I created initial wireframes. These were reviewed and revised multiple times to ensure alignment with user needs and expectations.

User testing: I conducted usability tests with six additional users. Their feedback provided valuable insights that guided further refinements to the wireframes and overall design.

Final design: Incorporating all the feedback collected during interactions with users and stakeholders, I successfully delivered the final design and workflows.

Primary Objective: Simplify daily tasks, as users previously spent excessive time completing even basic operations.

The redesigned platform provides users with a clear and comprehensive view of all their tasks. This improvement helps employees prioritize and manage their workload more effectively.

By redesigning both the workflows and the platform's user interface, users can now complete tasks faster and more easily, significantly reducing the time spent on each activity.

Clean and consistent UI

The updated interface features a cleaner, more intuitive design. Key enhancements include a fixed PDF viewer, allowing users to consistently reference document data, a critical requirement for their workflow. Additionally, branding elements were integrated to create a cohesive user experience.

This project successfully transformed a bulky, inefficient tool into a user-centered platform that supports employees in their day-to-day work, achieving the primary goal of simplifying and enhancing their productivity.
